("We," "Us," or "Our") explains how we collect, use, and share your information when you visit our website www.reframe.systems (the "Website"), contact us, request a consultation, subscribe to updates, watch embedded videos, or otherwise interact with our services (collectively, the "Services").
We appreciate your decision to use our Website and to trust us with your personal information. We strongly encourage you to read this document carefully, along with our Cookie Policy. This Privacy Policy describes our practices; your use of non-essential cookies and tracking technologies is governed by the choices you make through our consent tool rather than by your use of the Website alone. We are a design-build homebuilding company. Most personal information we collect comes from people who contact us, request a consultation, or sign up for updates — typically your name, email, address, and business or professional details, handled through our embedded contact form (powered by HubSpot). We also use analytics tools (Google Analytics 4, Microsoft Clarity, and Segment) and embed videos hosted by third parties (YouTube and Vimeo), which may set their own cookies. You have choices about non-essential cookies and tracking — see "How to manage tracking and cookies" and "Your privacy rights."
What information do we collect about you?
Information you provide directly: name; email address; postal address; phone number (when you provide it); and professional or employment-related information (for example, your company, role, and details about a development or building project you tell us about).
Information we collect automatically. When you visit the Website, we and our service providers may automatically collect: log and device data (IP address, browser type, operating system, device identifiers, referring and exit pages); usage data (pages viewed, links clicked, time on page, and interactions); approximate location (from your IP address); behavioral analytics (including heatmaps and session recordings via Microsoft Clarity); and video interaction data (when you play an embedded YouTube or Vimeo video, those providers may collect information and set cookies).
Categories of sources. We collect personal information directly from you; automatically from your device and browser through cookies and similar technologies; and from our analytics and service providers who support the Website.
Sensitive information. We do not intentionally collect sensitive personal information (such as government IDs, financial account numbers, precise geolocation, or health data) through the Website, and we do not use or disclose sensitive personal information for purposes that would require us to offer a "Limit the Use of My Sensitive Personal Information" option under California law. The approximate location we derive from your IP address is not precise geolocation. Please do not submit sensitive information via web forms.
How do we collect this information?
Information you give us. When you contact us, request a consultation ("Meet with an Expert"), request a microfactory visit, subscribe to updates, or submit a form, you provide information directly. Our contact and lead-capture forms are embedded and processed using HubSpot Forms.
Information we collect automatically. When you access the Website from a device, we collect information through cookies and similar technologies. See our Cookie Policy for details.
Information from third parties. We may receive or supplement information from analytics providers and similar service providers.
Cookies and similar technologies
Cookies are small text files placed on your device to store preferences and information, such as your choices on our Website and analytics data. For the full, current list of cookies, please see our Cookie Policy. We use the following categories, managed through our CookieYes consent tool:
- Necessary — required for the site to function and stay secure (for example, Cloudflare and the HubSpot form embed, plus CookieYes consent cookies).
- Functional — features such as embedded video from YouTube and Vimeo.
- Analytics — Google Analytics 4, Microsoft Clarity, and Segment.
- Advertising — cookies set by embedded video providers such as YouTube where applicable.
Embedded third-party video. Some pages embed videos hosted by YouTube and Vimeo. When such a video loads or is played, YouTube (Google) and/or Vimeo may set cookies and receive data (including your IP address and viewing activity) under their own privacy policies. Some pages also embed an interactive tour hosted by a third party (anivision.in), which operates under its own privacy practices.
Do Not Track and opt-out preference signals
We respond to "Do Not Track" requests by disabling cookies used for tracking. Where required by law, we also treat recognized opt-out preference signals (such as Global Privacy Control, or "GPC") as a valid request to opt out of the sale or sharing of personal information for the browser and device on which they are enabled.

How long do we retain your information?
We keep your personal information only as long as necessary for the purposes described in this Policy, unless a longer retention period is required or permitted by law. We determine retention using the following criteria:
- Contact, lead, and consultation information (name, email, address, phone, professional details, message content): retained for the duration of our relationship with you and for a reasonable period afterward to follow up on your inquiry, then deleted or anonymized when there is no longer an active or reasonably anticipated business need.
- Marketing/subscription information: retained until you unsubscribe or withdraw consent, plus a short period to process your request.
- Analytics and device identifiers: retained according to the retention settings of the relevant provider (for example, Google Analytics 4) and our cookie durations, as described in our Cookie Policy.
- Records required for legal, tax, or accounting purposes: retained for the period required by applicable law.
When we no longer have a legitimate business need to process your information, we will delete or anonymize it — or, if that is not possible (for example, because it is stored in backup archives), securely store and isolate it from further processing until deletion is possible.
Sale / sharing of information
We do not sell your personal information for money. We use analytics and embedded video technologies that may share certain online identifiers and usage data with the relevant providers. Under some U.S. state privacy laws (such as the California Consumer Privacy Act), the use of analytics and advertising cookies may be considered "sharing" of personal information for targeted or cross-context behavioral advertising, even when no money is exchanged. Categories that may be sold or shared: online and device identifiers (cookies, IP address); internet or network activity (browsing behavior, pages viewed, interactions, video views).
Categories disclosed for a business purpose: identifiers, communications content, and professional/employment information disclosed to our service providers (for example, HubSpot and Cloudflare) so they can support our forms, communications, and hosting.
Third parties and providers: analytics providers (Google Analytics 4, Microsoft Clarity, Segment); embedded video providers (YouTube/Google, Vimeo); and service providers that support our forms and hosting (for example, HubSpot and Cloudflare).
We do not knowingly sell or share the personal information of consumers under 16 years of age.

Your privacy rights
Depending on where you live, you may have the right to: access or know the personal information we hold about you; correct inaccurate information; delete your information (subject to legal exceptions); opt out of the sale or sharing of personal information and of targeted advertising; receive a portable copy of certain information; object to or restrict certain processing; withdraw consent where processing is based on consent; and not be discriminated against for exercising your rights.

Do Not Sell or Share My Personal Information
To opt out of the "sale" or "sharing" of your personal information for targeted or cross-context behavioral advertising, you can: (1) open the consent tool by clicking the cookie icon at the bottom-left of any page and disable Analytics and Advertising cookies; or (2) enable a Global Privacy Control (GPC) signal in your browser, which we honor as a valid opt-out for that browser and device where required by law.
How to manage tracking and cookies
You can review and change your tracking choices by clicking the cookie icon at the bottom-left of any page, which opens the consent tool where you can update preferences or withdraw consent. You can also: adjust your browser settings to block or delete cookies (see the browser links in our Cookie Policy); enable a Global Privacy Control (GPC) signal, which we honor as an opt-out of sale or sharing where required; opt out of Google Analytics using Google's browser add-on; manage YouTube and Vimeo cookies through those providers' settings; and unsubscribe from marketing emails using the link in any such email.
Privacy of children
Our Services are intended for adults and are not directed to children. We do not knowingly collect personal information from children under 13, consistent with the Children's Online Privacy Protection Act (COPPA). In addition, we do not knowingly sell or share the personal information of consumers under 16 years of age, consistent with California law. If you are a parent or legal guardian and believe your child has provided us with information without your consent, please contact us, and upon verification we will remove the information from our database.
Security of your personal information
We take reasonable physical, technical, and organizational measures to store the information we collect securely. However, no method of internet transmission or digital storage is completely secure, and while we use commercially reasonable measures, we cannot guarantee absolute security.
International data transfers
We are based in the United States and process information there. If you access the Website from outside the U.S., your information may be transferred to, stored in, and processed in the United States and other countries whose data protection laws may differ from your own. Where required, we use appropriate safeguards for such transfers.
Links to other websites or apps
Our Website may link to or embed external websites, apps, or services we do not operate and that are not governed by this Privacy Policy. This includes embedded YouTube and Vimeo videos, an embedded interactive tour (anivision.in), our merchandise store hosted on Fourthwall, and our careers portal hosted on Ashby — each with its own privacy practices. We may update this Privacy Policy from time to time to reflect changes in the law or our practices.
